RP Fitness Limited (“RP Fitness”) is committed to protecting your privacy. This policy explains what personal information is collected through rpfitness.co.uk, why it is collected, how it is used and what rights you have over it.
RP Fitness Limited is registered in England and Wales, company number 09469475, registered office Unit K Trinity Hall Farm Industrial Estate, Nuffield Road, Cambridge CB4 1TG. The gym is at Unit C, Nuffield Rd, Cambridge CB4 1TG.
RP Fitness Limited is the data controller for the information described in this policy, and is registered with the Information Commissioner’s Office under reference ZB282219.

Information collected through this website
Enquiry forms
There are three enquiry forms on the site and each collects slightly different information.
General enquiries, on the contact page. Name, email address, telephone number and your message. Sent to info@rpfitness.co.uk.
Personal trainer enquiries, on the personal trainer opportunities page. Name, email address, telephone number (optional) and your message. Sent to richard@rpfitness.co.uk.
Corporate membership enquiries, on the discounts page. Name, company name, email address, telephone number (optional) and your message. Sent to james@rpfitness.co.uk.
Every enquiry is saved to the website database before it is emailed, so that a mail failure never loses your message. Alongside the details you provide, each record stores the page you submitted the form from, the date and time, and your IP address. The IP address is kept as a protection against automated spam submissions.
You will receive an automatic acknowledgement by email confirming your enquiry was received.
Submissions rejected as spam are logged with the date, the type of form, the reason for rejection and the IP address. No message content is kept from a rejected submission.
Legal basis: legitimate interests, specifically responding to enquiries about the gym and its services, and protecting the website from abuse.
Retention: enquiries are kept for two years from your last contact, then deleted.
Injury clinic bookings
Bookings for the injury clinic are handled by booking software installed on this website. Booking a treatment collects your first name, last name, email address, telephone number, and your agreement to the treatment waiver.
The waiver records that you have agreed to disclose relevant medical conditions to the practitioner before treatment. Any medical information you then share is discussed directly with the practitioner and is not collected through the website.
Payment for injury clinic appointments is taken in person at the gym. No card details are collected through this website for injury clinic bookings.
Booking records are stored in the website database, which is hosted in the United Kingdom.
Legal basis: performance of a contract, specifically providing the treatment you have booked.
Retention: injury clinic records are kept for seven years after your last appointment, in line with normal practice for treatment records, then deleted.
Course accounts and purchases
Buying or enrolling on an online course requires an account. Creating one collects your name, username, email address and a password. Passwords are stored encrypted and are never visible to RP Fitness.
Your account holds a record of the courses you have enrolled on and your progress through them.
Payments are processed by PayPal. Your card or PayPal account details are entered on PayPal’s systems, not on this website, and RP Fitness never sees or stores them. PayPal is an independent data controller for the information you give them. Their privacy policy is at paypal.com.
Legal basis: performance of a contract, specifically providing the course you have purchased.
Retention: your course account is kept for as long as you have access to a course, plus a short period afterwards. Records relating to payments are kept for six years to meet HMRC requirements.
Information not collected through this website
Gym membership
Gym membership is not sold through this website. Joining, direct debit payments, freezes and cancellations are all handled by Ashbourne Management Services.
When you join, you complete the process on Ashbourne’s own website and provide your details, including your bank details, directly to them. Ashbourne is responsible for that information under its own privacy policy, available at ashbournemanagement.co.uk. RP Fitness never sees or stores your bank or direct debit details.
For anything relating to your membership account, payments, freezing or cancelling, contact memberships@ashbournemanagement.co.uk or text the word help to 60777.

A cookie is a small file stored on your device by a website. This site uses a small number of them.

RP Fitness advertises through Google Ads. These cookies measure whether an advert led to someone visiting the site, and allow RP Fitness adverts to be shown to you on other websites you visit afterwards. This is known as remarketing. They are only set if you consent to them.

Changing your mind
Analytics and advertising cookies are not set until you accept them. You can change or withdraw your consent at any time using the cookie settings link in the website footer.
Managing cookies

Third parties that receive information
PayPal. Receives your payment details when you buy a course. Independent data controller.
Google. The contact page and injury clinic page include an embedded Google map. When one of these pages loads, Google receives your IP address and the page you are viewing, whether or not you interact with the map. Google also receives analytics and advertising data where you have consented to it.
Kinsta. Hosts this website and therefore processes all information stored on it. Kinsta operates on Oracle Cloud Infrastructure. Data for this website is stored in the United Kingdom.
Cloudflare. Provides security and performance services and processes traffic to the site.
No personal information is sold, rented or shared with anyone for marketing purposes.
Where your information is stored
All information collected through this website is stored on servers in the United Kingdom.
Where a third party listed above processes information outside the United Kingdom, they do so under the safeguards required by UK data protection law.
Who can access your information
Access is limited to people who need it. Enquiries can be viewed by RP Fitness staff with website administrator or editor access. Injury clinic bookings can be viewed by administrators and the practitioner delivering the treatment. Course records can be viewed by administrators and the instructor delivering the course.
Your rights
Under UK data protection law you have the right to:
- ask what personal information is held about you and receive a copy of it
- have inaccurate information corrected
- have your information deleted, where there is no continuing reason to keep it
- object to processing based on legitimate interests
- restrict how your information is used while a query is resolved
- receive your information in a portable format
- withdraw consent at any time, where consent is the basis for processing

If you are unhappy with how your information has been handled, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Children
This website is not intended for children. Gym membership is only available to people aged 18 and over, and no information is knowingly collected from anyone under 18.
